I use gmail. I have two accounts. I have one named botipsafe and the other is botipton. The botipsafe I use for the mailing list email for all the emails to come to and botipton for the contact email. Then I go into the gmail account and set up filters so that when emails come in from the safelist they go straight to a file and never go into my inbox. Even the botipsafe won’t have but about 10 emails a day in the inbox when I get the filters set up. I will show you in another post why you want them to go into a file and what you will use them for.
Do not just delete them especially on Credit Based Safe-list. If you are building your business without spending money you will have to open some of them to get credit to mail. Building your business with free tools you are trading your time instead of money for what you need to grow your business.
How to set up your gmail email accounts for to use with Safelist.
If you are joining a Safelist the first thing you want to do is to go open two gmail accounts.
One will be the List Email account and one will be your contact email account. Most Safelist will require two different emails. My list email account is called botipsafe and my contact account is called botipton.
If you are going to brand yourself use your own name. First name or last name or both if they are available. If not find something that is close to your name. We will cover why that is important in another post.
Now how to set Gmail up so that your Inbox on the List email address does not get flooded.
After you receive your first email from a Safe-list click on that email and open it.
After you open it you will see in the light blue box at the top of the email three grey boxes that say
Archive Report Spam Delete
Just to the right of them is a white box that says More Actions with a down arrow.
Click on the down arrow
On the drop down menu click on Filter Messages Like These
A yellow/tan box will pop up with the address the email came from in the From Box. You do not have to do anything here but click Next Step bottom right.
On the next yellow/tan box that pops up check the first box Skip The Inbox
Go down three boxes and check the box Apply The Label
Now click the down arrow in the box right beside that where it says Choose Label.
In the drop down box click New Label
A blue box comes up; type in the name of the Safe-list or a name that will let you remember which Safe-list it is.
Click Ok and you get taken back to the yellow box
Now in the grey box where it says Create Filter on the bottom check the box beside it where it says Also apply filter to XX conversation below. XX being the number of messages from that same address
Click Create Filter and you are done.
Your Inbox will still show the same number of messages but when you click on Inbox it will Archive the emails you choose and the number will readjust.
Scroll down and on the left you will see the name you used for the filter and the emails will be in it. You can access them by clicking on the name.
You do not want to delete these messages yet because we will be using them to build our headlines for the Safe-list. We will cover that when we talk about sending emails to a Safe-list.
Now you can do the same thing to the other Safe-list emails.
Sometimes they may bypass the filter and they show up in your Inbox with the label you assigned on them. When that happens just check the box beside the email to select it and click on Archive and it will go to the folder it belongs in.
Remember some Safe-list use more then one email address to mail to you. You may have to do this more then once on some Safe-list. When you do get another email from the same Safe-list that does not automatically Archive then
click on the email again
Click on the down arrow on the white box that says More Actions
Click on Filter Messages in the drop down menu
Click on Next in the box that pops up
Click on the choose label down arrow
Click on the label you want to apply
Check the box besides the Create Filter button on the bottom of the screen.
Click on Create Filter
Click on Inbox and your are done
Don’t stop reading we are almost through
Now the nice thing is that you can do that to any emails.
For instance the emails receive you that you want to save.
Go to one of the emails and open it and do all the steps except DO NOT check Skip The Inbox.
Let’s say you named the Filter Bo. That way when emails from me come in they will be in your inbox with the label Bo on them. After you read them all you have to do is click on Archive and they will go to the folder named Bo for when you need them later.
For instance I made a filter in my main Gmail account that is named receipts. I did it the same way.
I opened an email that was a receipt and did all of the steps except I did not check Skip The Inbox.
Now when an email comes in that is a receipt I want to save
I open the email
I click the down arrow besides the white box that says More Actions
On the drop down menu I click Receipts below Apply Label.
The label name appears beside the email and I just click Archive and it goes to the folder I want it to.
Use your imagination and this can be a great tool.
